1. Who We Are

TurfWize is a lawn care business management application operated by Stormwater Dynamic Solutions LLC, a Missouri limited liability company. References to "TurfWize," "we," "us," or "our" in this policy refer to Stormwater Dynamic Solutions LLC.

Our contact information is provided at the bottom of this policy.

2. What We Collect

Account and Identity Information

• Your name, phone number, and encrypted PIN
• Your company name, email address, phone number, and business address
• Your role within your organization (owner, manager, foreman, or worker)
• Business details you choose to provide (license number, insurance policy, tax rate)

Business Operations Data

• Client names, contact information, and billing addresses
• Property addresses, boundary maps, zone configurations, and site markers
• Job details including schedules, task assignments, notes, and completion status
• Invoice amounts, payment status, and billing history
• Crew assignments, schedules, and task completions
• Equipment information and fuel cost records

Location Data

• GPS breadcrumb trails recorded during active jobs for crew tracking purposes
• Property coordinates derived from address geocoding
• Real-time crew positions shared during active jobs (visible only to managers and foremen)

Device and Usage Data

• Device type, operating system version, and app version
• Session information including login times and session duration
• IP addresses for security logging and abuse prevention
• In-app actions such as job start and completion events, zone completions, and notifications

AI Interaction Data

• Messages you send to the TurfWize AI assistant
• Business context provided to the AI (job data, crew data, client data) to generate responses
• AI is powered by Anthropic's Claude API. Messages are processed by Anthropic but are not used to train their models. See Anthropic's privacy policy at anthropic.com/privacy.

3. How We Use Your Data

• To provide and operate the TurfWize application and all its features
• To process and display your business data including jobs, clients, properties, and invoices
• To enable real-time crew tracking and GPS breadcrumb recording during jobs
• To power route optimization, task optimization, and AI-assisted business insights
• To send notifications about job status, crew activity, and account events
• To provide customer support and respond to your inquiries
• To detect fraud, abuse, and security threats
• To improve the TurfWize application and develop new features
• To comply with applicable laws and regulations

4. Anonymized Industry Analytics

TurfWize collects anonymized, aggregated performance data to support lawn care industry research and benchmarking. This data helps improve route optimization algorithms, supports equipment manufacturers in product development, and contributes to industry-wide efficiency benchmarks.

What anonymized data we collect:

• Property zone sizes, types, and configurations (zip code level only — never full addresses)
• Job duration metrics and optimizer accuracy rates
• Crew size ratios relative to property size
• Seasonal mowing frequency patterns by region
• Equipment usage efficiency metrics
• GPS coverage completion rates

What we never include in anonymized data:

• Client names, contact information, or identities
• Full property addresses (only zip code and state)
• Invoice amounts, revenue figures, or financial data
• Crew member names or personal information
• Any data that could identify your company or your clients

Your opt-out right: You may opt out of anonymized data collection at any time by going to Settings → Data & Privacy in the TurfWize app and toggling off "Contribute anonymized industry data." Opting out does not affect any other functionality of the app.

California residents: Under the California Consumer Privacy Act (CCPA), you have the right to opt out of the sale or sharing of your personal information. To exercise this right, use the opt-out toggle in Settings or email us at privacy@turfwize.com. We do not sell personal information. Anonymized data that cannot reasonably identify you is not considered personal information under CCPA.

5. Data Sharing

We do not sell your personal data or your clients' data. We share data only in the following circumstances:

Service providers: We share data with third-party vendors who help us operate TurfWize, including:

• Railway — cloud infrastructure and database hosting
• Anthropic — AI processing for the chat assistant and optimizer insights
• Google Maps — mapping, geocoding, and satellite imagery
• Resend — transactional email delivery
• Stripe — payment processing for subscriptions

All service providers are contractually obligated to protect your data and use it only for the services they provide to us.

Legal requirements: We may disclose data if required by law, court order, or government authority, or to protect the rights, property, or safety of TurfWize, our users, or others.

Business transfers: If TurfWize is acquired or merged with another company, your data may be transferred as part of that transaction. We will notify you before your data is transferred and becomes subject to a different privacy policy.

Anonymized industry data: We may share or license aggregated, anonymized datasets with industry partners as described in Section 4. This data cannot identify you or your clients.

6. Data Retention

We retain your account and business data for as long as your account is active. If you cancel your subscription, your data is preserved for 30 days, after which it is permanently deleted from our systems. You may request immediate deletion by contacting us at privacy@turfwize.com.

Anonymized analytics data that cannot identify you may be retained indefinitely as part of industry research datasets.

GPS breadcrumb data is retained for 90 days after job completion and then automatically deleted.

7. Security

We take reasonable technical and organizational measures to protect your data, including encrypted data transmission (HTTPS/TLS), encrypted PIN storage using bcrypt hashing, JWT-based authentication with token expiration, and access controls limiting data visibility by user role.

No method of transmission over the internet is 100% secure. We cannot guarantee absolute security but are committed to protecting your data using industry-standard practices.

8. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

• Access: Request a copy of the personal data we hold about you
• Correction: Request correction of inaccurate or incomplete data
• Deletion: Request deletion of your personal data
• Portability: Request your data in a portable format
• Opt-out: Opt out of anonymized data collection at any time via app Settings

9. Children's Privacy

TurfWize is a business management application intended for adults operating lawn care businesses. We do not knowingly collect personal information from anyone under the age of 18. If you believe a minor has provided us with personal information, please contact us immediately at privacy@turfwize.com.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or through an in-app notification at least 30 days before the changes take effect. The "Last updated" date at the top of this policy reflects the most recent revision.

Continued use of TurfWize after the effective date of any changes constitutes your acceptance of the updated policy.
